Dear Colleagues,

Hotel Information

The tournament hotel is the Hammersmith Novotel:

London Novotel Hammersmith
Hammersmith International Centre
1 Shortlands
London W6 7DR
Tel. +44 181 741 1555
Fax +181 741 2120

You can find slightly more information at either of these two websites:

http://www.smoothhound.co.uk/a00114.html
http://www.infotel.co.uk/hotels/16584.htm

You can access a map from either of these pages. It's not a great map though.

We have arranged with the Novotel that we will take care of arranging your extra nights. First a reminder that we are paying for your accommodation in twin rooms from 29th January to 6th February inclusive; and judges have one extra night on the 28th January. Anything over and above this you must pay for - which includes a supplement of £20 per night if you want a single room during the tournament (i.e. £200 for judges or £180 for others).

Extra Nights

You can be accommodated in single rooms at £45 per night, twin or doubles at £25 per person per night, and triple rooms at £22 per person per night. The triple rooms consist of a queen sized double bed and a sofa bed. These rates include UK tax and continental breakfast.

Accommodation Requests

I need from every country sending teams, judges or observers an e-mail or fax as soon as possible containing the following information:

[1] Names of participants and arrival and departure dates for each
[2] Room sharing preferences (single room, specific name of sharing partner, or happy to be randomly allocated).
[3] *** If you would like a different room arrangement for your 'extra nights', for example if you would prefer to squeeze into triple rooms before being moved into twins for the tournament proper, please indicate clearly your requirements.
[4] Your estimate of the outstanding cost of your extra nights (in pounds, or coverted into dollars at £1=$1.62).
[5] The name of the person who will guarantee your delegation's extra expenses (room service etc.) - credit card to be presented to hotel on arrival.

I will then invoice you for the outstanding amount and make the booking with the Novotel for you.

For Example!

This has the hallmarks of being by far the most complicated aspect of the tournament. I do apologise if the explanation isn't as clear as it might be - and do ask that you think carefully about the information you are giving us before sending it as it will reduce the burden on Judy and myself! In short, please give us as much detail as you can.

Directions

From the map on the website, you can see that the Novotel is opposite Hammersmith Underground station on the Piccadilly and District lines (blue and green respectively). If you are arriving at Heathrow, you can either take a taxi (c. 30 mins) or take the Piccadilly line directly to Hammersmith. If arriving at Gatwick, either take a taxi (45mins - 1hr), or take the 'Gatwick Express' train to Victoria, change onto the Underground (District line westbound) and go to Hammersmith.

At Hammersmith tube station, follow the signs for Hammersmith Broadway or Queen Caroline's St, rather than for Butterwick and the Buses. Come out of the station and out of the shopping centre, turn right, go along a bit, cross the road towards a big shapeless car park, and you'll find the hotel somewhere inside that. There are maps of the local area in the tube station if you want to double-check you have the right exit.

Travel - Photocards

We will be issuing travelcards which will give you free transport on London Underground, rail and buses on certain days of the tournament. Apparently, it will be much easier if we can organise these in advance which requires us sorting out the accompanying photocards. Please can you therefore arrange to send us UK-passport sized photos of each member of your delegation - 5cm (up) x 4cm (across) or 2in (up) x c.1.5in (across). Please mark on the back of photo the person's name and country. We apologise for this extra inconvenience but if we do not receive them by early January we cannot guarantee issuing you with a travelcard.
